Hosting & server logs

This website is hosted by Netlify, Inc., 2325 3rd Street, Suite 215, San Francisco, CA 94107, USA. When the pages are accessed, the server automatically processes technical access data in so-called server log files: IP address, date and time of access, the page requested, the amount of data transferred, and the browser type and operating system. This processing is technically necessary to deliver the website and ensure its stable and secure operation (Art. 6(1)(f) GDPR – legitimate interest).

A data processing agreement (DPA) under Art. 28 GDPR is in place with Netlify; it forms an integral part of Netlify's terms of service. As Netlify is based in the USA, personal data may be transferred to the USA; such transfers are safeguarded by the EU Standard Contractual Clauses (SCC) and, where applicable, the EU-U.S. Data Privacy Framework. This website is fully static; no server-side functions, forms, or analytics services from Netlify are used.

Web fonts

The fonts used on this website (Cinzel, Cormorant Garamond and Hanken Grotesk) are served locally from this website's own server (self-hosting). No connection to Google's servers is made and no IP address is transmitted to Google when the pages load.

Cookies

This website does not set any analytics or marketing cookies of its own. Strictly necessary cookies or similar technologies may be set by embedded services — for example by YouTube when you actively start an embedded video. Should analytics or marketing cookies be used in the future, we will obtain your prior consent via a cookie banner (Art. 6(1)(a) GDPR).

Payments

No payment is processed on this website. After you submit an order, booking or application form, you receive the invoice and payment information by email from RHL-Systems GmbH. Payment data (such as card numbers) is neither requested nor processed via this website.

Contact, booking & application

This website provides several forms: the booking form and the application form on the “Private Calls” page. The PDF systems are free downloads and require no form or personal data. Depending on the form, we process the data you provide: name, email address, phone number, date of birth, city of residence or full billing address (street & house number, postal code, city, country), optionally company name and VAT ID, the chosen topic or product, and an optional message.

We process this data solely to handle your request, to contact you about available slots and – for the reservation form – to process your purchase and issue an invoice. The legal bases are Art. 6(1)(b) GDPR (contract or pre-contractual measures), (c) (statutory retention and invoicing obligations) and (f) (legitimate interest in handling your enquiry). Invoice-related data is retained for the statutory periods (generally seven years in Austria).

For the technical transmission of the forms we use the service Web3Forms (web3forms.com). Form data is processed on servers in the USA (Amazon Web Services, US-East region) and forwarded to us by email; Web3Forms stores it only briefly (up to 30 days on the free plan) and then deletes it automatically. For spam protection, your IP and email address may be transmitted to the services CleanTalk and Akismet. As personal data is thereby transferred to a third country (USA), this is based on appropriate safeguards within the meaning of Art. 44 et seq. GDPR. The Web3Forms Privacy Policy applies in addition.

PDF download & newsletter (double opt-in)

On the “Systems” page you can request the HOT Joe and RICH Joe system PDFs free of charge. This requires your email address.

Process (double opt-in): after submitting, you receive a confirmation email. Only once you click the confirmation link do we send you the download link. This ensures the sign-up genuinely came from you.

Purposes and legal bases: the PDFs are sent to provide the service you requested (Art. 6(1)(b) GDPR). The newsletter with news about new systems, releases and the journey is only sent if you additionally tick the relevant box – the legal basis is your consent (Art. 6(1)(a) GDPR in conjunction with § 174 TKG 2021, Austria). Delivery of the PDFs is not tied to newsletter consent – you receive them either way.

Proof of consent: to meet our accountability obligation (Art. 5(2), Art. 7(1) GDPR) we log the time of sign-up, the time of confirmation and the IP address used.

Withdrawal & unsubscribe: you may withdraw your consent at any time with effect for the future – via the unsubscribe link in every email or informally to privacy@richhotlife.com. This does not affect the lawfulness of processing carried out before withdrawal.

Storage period: data is stored for as long as you are subscribed; after unsubscribing it is deleted or restricted for evidence purposes. If a sign-up is not confirmed within 30 days, the entry is deleted.

Email service provider: we use an email service provider as a processor (Art. 28 GDPR) for managing and sending these emails; a data processing agreement is in place. Processing takes place on servers within the EU.

Data collected by YouTube

The associated channel is operated on the YouTube platform (Google LLC, Mountain View, CA, USA). YouTube automatically collects data when you visit the channel or watch videos (IP address, device information, usage behaviour). This data processing is carried out by YouTube/Google, not by RHL-Systems GmbH.

Selected videos from the channel are embedded on this website. Embedding uses a data-saving two-click solution in privacy-enhanced mode (youtube-nocookie.com): no connection to YouTube is established when the page loads; data (including your IP address) is transferred to YouTube/Google only once you actively start a video.

Comments

If you leave a comment on the associated channel, your YouTube username and comment content will be publicly visible. Processing is carried out by YouTube under their privacy policy.
